2. Payments, Deposits & Refunds

Deposit: A standard non-refundable deposit of 50% of the total quotation value is required to secure your date and initiate event preparations.

Final Balance: The remaining balance (50%) is due strictly 3 business days prior to the event date, unless alternative credit terms have been pre-arranged in writing.

Late Payments: SA Teambuilding reserves the right to suspend services or withhold event delivery if payments are outstanding. Overdue accounts will be subject to interest charges in accordance with the National Credit Act.

3. Cancellations & Postponements

We understand that corporate plans can change, but due to the advance preparation, equipment allocation, and staffing required for our events, cancellations impact us significantly:

• 30 days or more prior to event: forfeiture of the 50% deposit
• 15 to 29 days prior to event: 75% of the total event cost
• 1 to 14 days prior to event: 100% of the total event cost

Postponements: Rescheduling an event is treated as a cancellation of the original date and is subject to availability. Postponements requested within 14 days of the event may incur a rescheduling administration fee to cover locked-in supplier and staffing commitments.

4. Weather & Force Majeure (Outdoor & Mobile Events)

Weather Contingencies: For outdoor team-building activities, events will proceed rain or shine unless weather conditions pose a direct safety hazard (e.g., severe thunderstorms, lightning, or heavy flooding). It is the client's responsibility to secure an adequate wet-weather backup venue.

Force Majeure: SA Teambuilding is not liable for failure to perform obligations if such failure is caused by events beyond our reasonable control (Acts of God, power grid failures/loadshedding affecting venues, civil unrest, strikes, or major transport blockades). We will work with the client to reschedule the event at the earliest mutually convenient date.

5. Client & Venue Responsibilities

Venue Access: The client must ensure that SA Teambuilding crew and equipment have timely and unobstructed access to the venue for setup and teardown at the agreed-upon times.

Safety & Conduct: SA Teambuilding facilitators reserve the right to suspend or terminate any activity immediately if participants display unsafe behavior, intoxication, or abusive conduct toward staff or other delegates. No refunds will be issued in such circumstances.

Damages: The client will be held financially liable for any malicious loss, theft, or damage caused to SA Teambuilding equipment, props, or audio-visual gear by their delegates or guests during the event.

6. Limitation of Liability & Indemnity

While SA Teambuilding maintains high safety standards and professional oversight for all physical activities, team-building and active events carry inherent physical risks.

Participants engage in activities voluntarily. SA Teambuilding, its owners, employees, and contractors shall not be held liable for any direct or indirect injury, loss, accident, or damage to personal property sustained during an event, except where caused by gross negligence on our part.

7. Intellectual Property & Media

All proprietary event formats, game designs, concepts, and branding materials utilized by SA Teambuilding remain our intellectual property.

SA Teambuilding reserves the right to take photographs or video footage during events for promotional use on our website and social media channels. If your company has a policy against media capture, please notify us in writing prior to the event.

8. Privacy & Data Protection (POPIA)

We respect your privacy. Any personal or corporate information collected during the booking process is processed in accordance with the Protection of Personal Information Act (POPIA). Your data will only be used for communication, invoicing, and service delivery, and will never be sold to third parties.
